We’ve been on the hunt for a good way to handle our Instagram social media calendar, along with a good app to review. When we heard about Trello, we thought it would be the perfect app to kill two birds with one stone! Believe it or not, our Instagram is not run by one, not two, but THREE people! Creative director Gabi takes all the photos, our editor Shanna writes all the captions, and Nina, our social media director, schedules and posts on Instagram! You can see how finding a good way to coordinate everything is a definite necessity!

Trello is pretty much the end-all-be-all! To start, you create boards and within a board, you can add lists. Within those lists, you can create individual cards (if that sounds complicated, it’s really not). For each card, you have a multitude of options. You can upload attachments (that picture of your bruschetta & wine night or a your first essay of the school year just to name a few), add labels to organize and categorize, include a date and time deadline, and write comments to keep everyone on their toes! If you’re working on a project with a group or are just looking for a better way to organize & be productive, we’d definitely recommend giving Trello a shot!

In your position, do you normally work with a team? For what?
Yes, dealing with marketing and social media entails collaborations from all departments!

When working with a team, how do you delegate tasks?
I have a master calendar that allows me to see what campaigns needs to be pushed when. This way, other departments are able to view what is being marketed on what days and they are then able to provide supplemental material whether that be photography, content, etc.

How do you make sure those tasks are completed?
At the moment, we don’t have a source that houses all the information in one place. Once I receive the information, whether that be text, email, or verbal, I then make sure everything is sent out where it needs to be and that’s how I know tasks are completed!

What is the most difficult part of working with a group?
The most difficult part would be finding a place to host all the information from various departments in one place.

What would make working with multiple people easier?
I think having one centralized location where everything can be housed for organizational purposes would be great!

Do you think Trello made working with a team easier or more complicated? Why?
I 100% think that Trello made working with a team easier! I was able to view everything and have all the materials I needed for marketing purposes in one location and it updates almost immediately when someone else updates information. It has made everything WAY easier.

What was the most helpful feature about Trello?
The most helpful feature is the drag-and-drop tool. With social media, there are always changes and updates and with the drag-and-drop tool, all I have to do is take a card & all of its content, and move it to another day or week! It’s so much easier than deleting, reloading and re-writing content.

Did you use Trello on your phone or computer? Which was easier?
I am always on the go and sometimes material needs to be pushed outside of work hours, so I certainly used the phone more often. But I did like being able to view things on the computer too. I think they are both equally easy to use, but my preference is the phone version. The best part about Trello is having all the same features on the phone AND computer unlike some computer and app pairs.

Tips for first time Trello users?
Play around with the app prior to rolling out your major content or work. Actually uploading your documents, creating labels, and using the app is the best way to learn!

In your position, do you usually work with a team? For what?
Yes!! Everything I do is usually teamwork, especially for Instagram. I’m in charge of the photos, Shanna in charge of captions and Nina in charge of planning and posting. So a lot of teamwork and thought goes into our Instagram!

How do you make sure those tasks are completed?
I usually create lists or just email the person to see if that task has been completed!

What’s the most difficult part of working with a group?
Making sure EVERYTHING gets done on time!

What would make working with multiple people easier?
An app to create to-do lists where you can invite people and check off when things are done!

Do you think Trello made working with a team easier or more complicated? Why?
Yes, not going to lie, it was difficult to figure out at first, but once I did, it has totally helped with having one place for everything for Instagram material!

What was the most helpful feature about Trello?
Being able to upload all the photos into the app! You can upload all your photos/documents so everyone in your group can download and save them! We used to send text messages with the pictures, but sometimes the pictures got deleted. Using Trello prevents all of that!

Did you use Trello on your phone or computer? Which is easier?
I used Trello on my computer because I have no space on my phone…. Haha too many photos obviously!

Tips for first-time Trello users?
Play around with it and get familiar with it. Also be sure to utilize the labels!

In your position, do you usually work with a team? For what?
Most of the time, writing is a solo project, but the actual blog is composed of different writers for each post! I think the biggest project I have that’s with a designated team is Instagram. You’d think it would take only one person to run our Instagram, but it actually takes 3!

When working with a team, how do you delegate tasks?
For Instagram, Nina has a running Google Spreadsheet. I know for every post we do, I need to write the caption and Gabi needs to take a picture.

How do you make sure those tasks are completed? (list, text, in-person, email..etc)
Majority of the time, Gabi, Nina, and I just check the social media spreadsheet. If the caption is written in there, the caption is done. But for pictures, Gabi has to send them to Nina so she can save and upload it to Instagram. So, it’s a lot of texting or shouting across the room to see if something is done (ha)!

What’s the most difficult part of working with a group?
I think it’s hard to keep track of everything. Because there are three people that handle each component of Instagram, we all need to be on the same page for every single post.

What would make working with multiple people easier?
I think having a place to have everything, I mean EVERYTHING, together would be so helpful. The pictures, the captions, the notes, the links…having every detail in one place is the goal!

Do you think Trello made working with a team easier or more complicated? Why?
I think at first, it was a little confusing but then again, new things always start off confusing! I actually think it was difficult at first because it has SO many different capabilities and I was trying to figure out how to do everything all at once. But after playing around with it and using it for the past few weeks, it has helped A LOT!

What was the most helpful feature about Trello?
I think being able to see the pictures is really helpful! Sometimes I can think of a more creative caption if I see the picture that’s actually being posted with it!

Did you use Trello on your phone or computer? Which is easier?
I used Trello mostly on the computer because I try to sit down first thing in the morning and write out all the captions for that day. But I do also have it on my phone. Having Trello on my phone is super handy in case I want to edit something when I’m out and about!

Is there anything Trello could do better?
I really feel like Trello has thought of everything! You can add labels to categorize tasks, add a checklist, drag & drop cards to different lists or boards, you can add due dates (time AND days!), insert hyperlinks, & add members to view the boards and/or assign members to certain tasks!
